If the job is not suitable for you but you like the company, you can specify this situation to the authority on phone or by writing an e-mail. In your response, you can mention about deficient factors which that job doesn’t have and responsibility level which you want, and the things which you want to have. For example; that job includes just to manage one class and if you want to manage a school, you can write it to your e-mail. You say that you want to manage a school or more classes than just one. When you say your request, maybe the employer thinks you in a different position or he or she can add you to his or her list for positions which will be opened in the future.

Maybe you didn’t like the company. If you don’t like the company because of its culture, products and services, to thank will be enough by specifying basically that this job is not suitable for you in your career’s next step. Not to specify any dissatisfaction or not to criticize is better for them.

Maybe salary is not enough for you and it is lower than your expectation. If the company and job is suitable for you but salary is not enough, you can specify it while you are sending an e-mail to them or when you call them. Normally, this situation is made after you say your decision about that job offer and there is a bargain for better salary. But you don’t think positively, you can specify that you thank them and you are eager for working with them but salary is not enough for you, so you have to decline that job offer.

When you decide not to accept a job offer, you can send an e-mail or you can call the authority to say your decision. Firstly, to send an e-mail or a letter shows that you are interested in the offer. To send a kind and thankful letter is a way to have a good relationship with the authority. Maybe the authority can make a better job offer to you. Before sending an e-mail or a letter, be sure that you don’t want to work in that job.

Steps to Decline a Job Offer by an E-mail or a Letter

  1. Start writing your letter or e-mail: Thank the authority because he or she offers that opportunity to you. A letter or an e-mail is always more professional than a phone conservation.
  2. Be thankful: You can start your words so “Thank you because you offer this position to me…” Be kindly and use a formal language.
  3. Emphasize on positive points of the job offer: Start with a sincere introduction. Firstly, introduce yourself and then write about the offer. Focus on positive sides of the offer but specify kindly why you decline it.
  4. Give a basic and real reason: You should write shortly and briefly. Describe why you are declining the job offer with some short sentences. Maybe you are working in another workplace or you don’t think to work for a long time or salary is not enough for you or you don’t like the company. Say the real reason. Don’t say excuses because employers or Human Resources Specialists or authorities can understand easily your lies when you say.
  5. Make a research: To be sure not to accept the job offer, you should learn all details of the job. Go to the company, talk with the other workers and observe their relationship with their bosses, managers and look at their system. Then decide whether you accept or not.
  6. Be intend: If you don’t want to accept the job offer, decline it kindly. And be intend on your decision. You should write your letter or e-mail by feeling determinedly.
  7. Be elegant: Even if you will decline the job offer, don’t forget to be elegant. Show respect to¬†employer or Human Resources Specialist or authority. Make the best one and write your e-mail or letter with due regard.
  8. Advice a different person: To advice a different person can be a way to close the position. If you advice a suitable person for that position, you can help them. Because employers or Human Resources Specialists or authorities spend lots of time and energy to find new workers. It is the most needed for them.
